+Equipment Reservation Guidelines

The Campus Media Center (CMC) provides deployable equipment for approved on-campus events according to the policies below. Please note that the CMC charges for all external client event support (see below). Support for all curricular events on campus will continue to remain free of charge.

PLEASE NOTE: The form below may be used only to request the delivery of portable equipment. If you have a media-related request or would like to reserve a study room, the Presentation Practice Room or a Multimedia Studio workstation, please call (425.352.5312) or come by the Campus Media Center (LB2-218).

  • Reservations for the Multimedia Studio and group study rooms with fixed media technology must be placed in-person or over the phone (425.352.5312).
  • Reservations for all videoconferencing services must be placed a minimum of 10 business days prior to the event.
  • Media circulation reserves should be requested via email, phone (425.352.5312), or in-person.
  • Special arrangements/permission may be required for special requests.

Category I: Curricular Activity

These are activities that directly support credit-generating instruction): Reservations must be placed at least 12 hours prior to the event. Last-minute requests will be evaluated on a resources-available basis.

  • UWB/CCC credit-generating courses
  • Course development
  • Faculty or staff meetings
  • Other credit-generating courses determined on a case-by-case basis

Category II: Non-curricular Activity

These are activities that indirectly support credit-generating instruction. eservations must be placed at least 3 business days prior to the event. Last-minute requests will be evaluated on a resources-available basis.

  • UW Educational Outreach Courses
  • Official Program/departmental events or meetings (orientations, informational sessions, workshops, teach-ins, etc.)
  • Other instructional activities determined on a case-by-case basis

Category III: Institutional Activity

These are activities such as workshops, ceremonies, conferences, meetings, non-credit courses, etc. Reservations must be placed a minimum of 10 business days prior to the event. All requests in this category will be evaluated on a resources-available basis.

  • UWB/CCC non-credit courses (Continuing Ed., Lifelong Learning, etc.)*
  • UWB/CCC ceremonies & special events (commencement, etc.)
  • UWB/CCC conferences, short courses, and meetings (including departmental meetings)
  • UWB/CCC public performances
  • Alumni association sponsored lectures, meetings, performances, and events
  • Student government sponsored events
  • Student organization sponsored events
  • UW Seattle/Tacoma sponsored events
  • Other local activities determined on a case-by-case basis
  • *Standard Classroom Support requests in this group must be made 3 business days prior to the event.

Category IV: External Client

The Campus Media Center (CMC) has generated rates for the use of equipment and services by external clients (i.e., clients that are not affiliated with either the University of Washington or Cascadia Community College). Reservations must be placed a minimum of 10 business days prior to the event. All requests in this category will be evaluated on a resources-available basis. Last-minute requests may not be honored.
